The Investigative Question Chooses the Tool

Technology is useful when it answers a defined factual question with a lawful, reproducible method. A locate, fraud chronology, site observation, entity trace, social-media preservation, and examination of a client-owned device require different sources, skills, authority, and deliverables. Starting with a product name or promise of “advanced technology” encourages overcollection and weak conclusions.

The scope should identify the subject, intended use, relevant dates, authorized data and devices, jurisdictions, privacy or court-order constraints, required accuracy, and how results will be verified. Ask what a tool does, what input it uses, what output it produces, what it cannot determine, whether it changes the source, and how another reviewer could reproduce the material result.

Research Databases Generate Leads, Not Truth

Research platforms can aggregate addresses, telephone numbers, public-record references, business associations, property indicators, court leads, and other data. Their speed is valuable, but coverage and update cycles differ. Common names, reassigned numbers, household associations, stale addresses, and merged profiles can connect a result to the wrong person.

Important facts should be checked against the originating record or another suitable source. Reports should label the provider, query date, identifiers used, result type, confirmation level, and unresolved conflicts. A “no hit” means the searched system returned no match; it does not prove the person, company, asset, lawsuit, or record does not exist. A PI license does not create access to police systems, bank accounts, medical files, tax records, carrier content, or private accounts.

Field Technology Still Depends on Lawful Position and Context

Cameras, time-synchronized notes, mapping, weather records, secure media storage, and vehicle-based observation aids can improve documentation. They do not create permission to enter property, defeat access controls, or record where the method is unlawful. A clear report still needs the observer, date, time, location, lawful vantage point, subject-identification basis, activity, media reference, interruptions, and lost contact.

Audio and electronic communications require special caution. Florida section 934.03 regulates interception and disclosure of communications, and section 934.21 addresses access to stored communications. The participants, consent, ownership, access authority, location, and facts matter. Obtain legal guidance for sensitive collection rather than assuming a device's capability makes its use lawful.

Digital Evidence Requires Preservation and Tool Validation

Digital evidence may include email, messages, documents, photographs, video, audio, account exports, logs, cloud data, and data from computers or mobile devices. Preserve original files and record who acquired them, from what source, when, using which method, and whether processing created a new copy. Hashes, read-only acquisition, metadata preservation, and custody logs may be appropriate depending on the case and the qualified examiner's method.

NIST's digital and multimedia evidence program emphasizes testing, reference data, and understanding forensic tools. Its Computer Forensics Tool Testing program develops test methods and reports for forensic software. Ask about tool version, validation or verification, known limitations, examiner qualifications, audit logs, and preservation of the original source.

AI Can Assist Review but Cannot Own the Conclusion

AI-assisted systems can help transcribe, translate, cluster, search, summarize, enhance workflow, or flag material for human review. They can also omit context, invent details, misidentify people, alter visual features, or produce results that cannot support a case conclusion. A translated or summarized output should remain linked to the original, and a person qualified for the task should verify any material fact.

Clients should ask whether their data is sent to a third party, retained for model training, stored outside the agreed environment, or exposed to other users; whether access is logged; and how generated output is labeled. Reports should identify when automation materially affected a finding and preserve the inputs, settings, version, output, and human verification needed to reproduce it.
